Office Staff / Secretary
Job Description
- Perform all Secretarial and administrative duties to ensure the professional, efficient, and effective fulfillment of requirements
- Answer phone calls and inquiries as needed
- Handle and prioritize all outgoing or incoming correspondence
- Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
- Prepare and disseminate correspondence, memos, and forms
- File and update contact information of employees, customers, suppliers, and external partners
- Support and facilitate the completion of regular reports
- Develop and maintain a filing system
- Check frequently the levels of office supplies and place appropriate orders
- Document expenses and hand in reports
- Undertake occasional receptionist duties
Job Requirements
- Graduate of 4 years of business course or any allied health courses
- At least 2 years of experience in any pharmaceutical/distribution firm is an advantage
- Proficiency in MS Office
- High degree of multi-tasking and time management capability
- In-depth knowledge of office management and basic accounting procedures
- Excellent organizational and time-management skills
- Excellent written and verbal communication skills
- Familiarity with office organization and optimization techniques
- Must be active and must be a team player
- Integrity and professionalism
- Proficiency in MS Office
